Outsourcing Process Overview

Once you choose the full outsourcing option, here’s how the process works:
Step 1: Sign the Service Agreement
We begin by sending you our Service Agreement, which outlines our services, data transfer procedures, and retention policies.
Step 2: Submit Test Data
After the agreement is signed, you provide test data so we can validate your file structure and data quality.
Testing can take time depending on your data, so we recommend starting early.
Step 3: Reserve Your Mailing Date
Once testing is approved, we schedule your mail-out date. Our calendar fills up quickly, so reserving early ensures your forms are mailed before the IRS deadline.
Step 4: Submit Final Data
Send us your final 1095 data in our provided Excel template (same format as your test data).
We import and validate your data for formatting and business-rule accuracy.
If we find errors, we work with you to correct them and send you a data verification checklist for confirmation.
Step 5: Printing and Mailing
On your scheduled date, we print and mail all employee forms.
If you’ve provided employee email addresses, we also offer e-Delivery (Web Presentment).
For any recipients who don’t opt in to e-Delivery, paper statements are automatically mailed.
Step 6: IRS E-Filing
We electronically file your forms with the IRS by the end of March — meeting all IRS deadlines.
Delaying e-filing until after mailing gives time to catch and correct any employee-reported issues.
Step 7: Confirmation
Once we receive IRS acceptance, we notify you by email confirming the completion of your filing.
Corrections Process
If you find an error before e-filing, we can correct it immediately and issue a revised form to the employee.
If the error is discovered after the IRS submission, we file a corrected form following our standard correction process (starting from Step 4 above).
